How to Organise Multiple Forwarded Email Addresses in One Inbox

If you have multiple email addresses for your business (e.g. [email protected], [email protected], [email protected]) all forwarding to the same inbox, it can quickly become messy.

Benefits of Email Rules

Setting Up in Gmail

  1. Open Gmail and click the ⚙️ Settings icon, then choose See all settings
  2. Go to the Filters and Blocked Addresses tab
  3. Click Create a new filter
  4. In the To field, enter the email address you want to sort (e.g. [email protected])
  5. Click Create filter
  6. Tick Apply the label, then choose or create a label (e.g. "Quotes")
  7. (Optional) Tick Also apply filter to matching conversations if you want to apply it to older emails
  8. Click Create filter

Repeat this process for each email address you want to organize.

Setting Up in Outlook (Web)

  1. Click the ⚙️ Settings icon, then choose Mail > Rules
  2. Click Add new rule
  3. Name your rule (e.g. "Quotes Folder")
  4. Under Condition, choose To and enter the email address (e.g. [email protected])
  5. Under Action, choose Move to and select or create a folder
  6. Save the rule

Repeat for each additional email address.

Setting Up in Outlook Desktop

  1. Go to File > Manage Rules & Alerts
  2. Click New Rule
  3. Choose Apply rule on messages I receive
  4. Check sent to people or public group
  5. Click people or public group and enter your business email address
  6. Click Next and choose move it to the specified folder
  7. Select or create the destination folder
  8. Name your rule and finish

A Note on "Send as" Addresses

If you want to reply from the same address the customer emailed, you'll need to set up a "Send as" address in your email client.
